How to Assign a Task in Google Sheets [Easy Guide]

To assign a task in Google Sheets, either tag someone’s email in a comment or create a drop-down list. I show both methods in this guide.

The commenting method is used in Google Docs, Google Sheets, and elsewhere in the GSuite. The drop-down method of assigning tasks is unique to Google Sheets.

How to Assign a Task in Google Sheets with a Comment

To assign a task to someone in Sheets, you must set it using a comment. In Google Sheets, you can assign tasks by commenting on the message in the comment box and adding the person’s email. You will then be prompted with an option to assign tasks in Google Sheets.

Here is how to assign in Google Sheets:

  • Open the spreadsheet where you want to assign the task.
  • Click on the cell or select multiple cells by clicking and dragging your cursor across several cells. You can also select a single cell and then drag your cursor on the blue dot in the bottom right corner of the cell.

  • Click on Insert or right-click on the selected area. This selected area is represented with a light blue highlight. This will open a dropdown menu.
  • There, click on Comment . You can use the Ctrl+ Alt+ M  shortcut on Windows to do this.
  • In the comment box that shows up, type in the comment and add the At  ( @ ) sign.
  • Now add the email of the person.
  • A new Assign  option will show under the email when you add the email Click on the Assign to [email]  button.

  • Click on the green Assign  button.

The assignee will receive a notification and can mark the task as done when they finish it. There is a difference between adding normal comments and assigning a task. When a normal comment is made, anyone can make the changes and mark it as done. However, using the assign task Google Sheets function means that only the person assigned the task can mark it as done.

How to Use a Drop-Down List to Assign Tasks

While the comment method gives helpful email reminders, sometimes it’s helpful to have a dropdown menu that shows who’s working on what. Here’s what you’ll need to know to create a drop-down menu to assign tasks in Google Sheets.

Here’s a visual walkthrough. First, you’ll select the cell where you want the dropdown menu. Then, click the “insert” menu and choose “dropdown”.

Then, you’ll see an option to choose “criteria”. Choose “dropdown from a range” if you already have an existing list with the name of the user or users you want to use.

Next, you’ll select your data range. Here, my range is F2:F5 on my main sheet. If yours is on another sheet, you can go to that tab to make your selection.

Finally, you’ll choose colors for the dropdown. Each person on your team gets a different color. That makes it easy to distinguish who’s working on what task. Here’s what my sheet looks like after I chose the colors for each task owner.

You’ll notice my task-tracking spreadsheet also has checkboxes. I don’t need a bunch of checklist text to see whether a task is completed. My team just clicks the box and I know we’re done with each project.

What Happens When a Task Is Assigned?

When you assign a task to someone, they will get an email and a notification in Google Sheets .

If you’re not a part of the spreadsheet, you will receive the permissions through a link in your email. If you are already a team member in the spreadsheet, when you open Google Sheets, you will see a grey dot with the number of the assigned tasks inside it.

When completing the tasks, they can click on the checkmark in the comment box to mark it as complete. You can also look at the previous and current tasks by going to the comment history section in Sheets. Just remember to enable edit access if you want them to mark check boxes in your spreadsheet.

How to Maximize the Google Workspace

Here are some of the best ways to get the most out of your spreadsheet task list.

  • Task owners should mark their tasks in Google Calendar to get regular reminders prior to the due date.
  • Workspace admins should regularly review access to make sure task owners can access what they need.
  • Workspace admins should consider automation to reduce repetition.

When in doubt, remember the basics of project management. You may want to consider something like Jira , which is a popular tool for project and issue tracking.

Common Mistakes

Here are some of the most common mistakes I see when assigning tasks in Google Sheets.

  • Missing Access

If you tag someone in a comment, they’ll need the ability to see the document to interact with your task. Google’s spreadsheet software is smart enough to remind you of this. But don’t cancel the warning message if you try to tag someone who isn’t already listed as a collaborator in your workbook.

  • Missing Notifications

If you’re using a dropdown menu to assign tasks, remember that your assignee won’t get an email notification. Dropdown menus give you a bunch of visibility into who’s working on a task and who’s responsible for it (see my RACI templates ), but they don’t give you the same kind of cloud-based communication you get with a comment.

  • Missing Information

When you use the dropdown method instead of Google’s standard comment method of assigning tasks, sometimes it’s hard to tell what happened in the past. If you want to know about the previous assignee or older comments, you’ll want to use the commenting method instead. It’s one of the easier ways of tracking conversations about a specific topic in Google Sheets.

  • Missing Automation

Those who use a spreadsheet as task management software will want to automate tasks. For that, you’ll want to familiarize yourself with app script . There are many things you can do when you add more complex scripts into your workbook. For example, you may want to automatically assign items on your task list. Or you may want to automatically populate an assignee’s task list. Scripts make this easy.

Why Assign Tasks in Google Sheets

Running a team in Google Sheets is among the best uses for the program. But, it can be annoying to assign tasks in other programs and then move them into Sheets. Luckily, you can assign tasks directly in Sheets through the comment menu.

Assigning tasks can be a helpful feature in Google Sheets as it allows you to individually assign the things to do rather than just leaving comments. This has one crucial advantage as it tells everyone what to do and only the person assigned a task completes it rather than anyone in the team making the changes.

Doing this has several benefits. You can divide the workload appropriately among your team members, and there won’t be any confusion about what a person needs to do. The tasks as marked for that specific person, so they don’t have to go through a list of comments to find their task.

In this Writing Tips blog post, we’ll discuss why keeping an inventory of your assignments is important, go over a few popular ways to do so, and introduce you to our student assignment tracker, which is free for you to use.

Why Tracking Is Important

Keeping your assignments organized is essential for many reasons. First off, tracking your assignments enables you to keep abreast of deadlines. In addition to risking late submission penalties that may result in low grades, meeting deadlines can help develop your work ethic and increase productivity. Staying ahead of your deadlines also helps lower stress levels and promote a healthy study-life balance.

Second, keeping track of your assignments assists with time management by helping prioritize the order you complete your projects.

Third, keeping a list of your completed projects can help you stay motivated by recording your progress and seeing how far you’ve come.

Different Ways to Organize Your Assignments

There are many ways to organize your assignment, each with its pros and cons. Here are a few tried and true methods:

  • Sticky notes

Whether they are online or in real life , sticky notes are one of the most popular ways to bring attention to an important reminder. Sticky notes are a quick, easy, and effective tool to highlight time-sensitive reminders. However, they work best when used temporarily and sparingly and, therefore, are likely better used for the occasional can’t-miss deadline rather than for comprehensive assignment organization.

  • Phone calendar reminders  

The use of cell phone calendar reminders is also a useful approach to alert you to an upcoming deadline. An advantage to this method is that reminders on your mobile device have a good chance of grabbing your attention no matter what activity you’re involved with.

On the downside, depending on how many assignments you’re juggling, too many notifications might be overwhelming and there won’t be as much space to log the details of the assignment (e.g., related textbook pages, length requirements) as you would have in a dedicated assignment tracking system.

  • Planners/apps

There are a multitude of physical planners and organization apps for students to help manage assignments and deadlines. Although some vow that physical planners reign superior and even increase focus and concentration , there is almost always a financial cost involved and the added necessity to carry around a sometimes weighty object (as well as remembering to bring it along with you).

Mobile organization apps come with a variety of features, including notifications sent to your phone, but may also require a financial investment (at least for the premium features) and generally will not provide substantial space to add details about your assignments.

  • Spreadsheets

With spreadsheets, what you lose in bells and whistles, you gain in straightforwardness and customizability – and they’re often free! Spreadsheets are easy to access from your laptop or phone and can provide you with enough space to include whatever information you need to complete your assignments.

2. The first tab in the spreadsheet will display several premade assignment trackers for individual subjects with the name of the subject in the header (e.g., Subject 1, Subject 2). In each header, fill in the title of the subjects you would like to track assignments for. Copy and paste additional assignment tracker boxes for any other subjects you’d like to track, and color code the labels.

3. Under each subject header, there are columns labeled for each assignment (e.g., Assignment A, Assignment B). Fill in the title of each of your assignments in one of these columns, and add additional columns if need be. Directly under the assignment title is a cell for you to fill in the due date for the assignment. Below the due date, fill in each task that needs to be accomplished to complete the assignment. In the final row of the tracker, you should select whether the status of your assignment is Not Started , In Progress , or Complete . Please see the example of a template that has been filled in (which is also available for viewing in the Example tab of the spreadsheet):

4. Finally, for an overview of all the assignments you have for each subject throughout the semester, fill out the assignment tracker in the Study Schedule tab. In this tracker, list the title of the assignment for each subject under the Assignment column, and then color code the weeks you plan to be working on each one. Add any additional columns or rows that you need. This overview is particularly helpful for time management throughout the semester.

Educators are often intimidated by Google Sheets and stick to assigning Google Docs or Google Slides assignments. But Google Sheets activities for students are easier to put together than you think! They’re also engaging, create opportunities for critical thinking and allow learners to be creative. Check out these learning activities and tips, and you might just turn out to be a Google Sheets fan.

If you’re an English language arts educator, you’ve probably assigned a reading log at some point. It’s wonderful to encourage the joy of reading, but oftentimes kids will fill out reading logs with basic information. When they have to keep track of the number of pages they read and the number of minutes, reading may start to feel like a chore.

Instead, a reading log should help learners more deeply engage with the text. To do this, create a three-column chart in Google Sheets for learners. From there, they’ll keep track of surprising moments, how they connected to characters or real people, questions they have, choices they disagree with or predictions they’ve formulated. Learners will make note of the event, question or prediction in one column. Then in the third column, they’ll write a quick thought. 

You can set up the reading log by adding in a drop-down menu in the first column. You can also ask learners for ideas on how they want to engage with the text so it becomes a personalized process.

If you teach health or physical education, healthy routines are most likely part of your curriculum. Ask learners to keep track of their physical activities outside of school by inputting them into a Google Sheet. 

Rather than just tracking the type of activity and number of minutes, ask them to record how they felt before and after running, doing soccer drills, shooting hoops, swimming, playing hockey, hiking or taking a walk. Then, over time, ask them if they see a pattern in their emotions tied to physical activities.   

An ongoing Google Sheets assignment for learners is a vocabulary journal. You can use this across subjects since reading and vocabulary are part of any course. In each row, learners will add a vocabulary word they come across when reading their textbook, online articles or literature. In the next columns, they’ll add a definition, any Greek or Latin roots and a picture that represents the word. 

Something to keep in mind is that when learners look up definitions in dictionaries, they often don’t understand the definitions. In this case, they still don’t understand the meaning of the word and you’ve just created busy work for them by copying down a definition. It’s best to point them to a kid-friendly dictionary and have them make a note in their journal if they need more clarification.

Technology Integration Specialist Joli Boucher created a super fun Google Sheets fill-in story activity. In Mad Libs style, learners type in their own adjectives, proper nouns, numbers and more to build a story. Joli’s example is a Halloween activity, but she details the steps for creating your own fill-in story. After learners complete the activity, ask them to share with a partner or the class. Design one for any holiday or event to engage learners and hear some giggles around the classroom. 

The “Doctors as Detectives” activity is actually a full lesson plan The New York Times Learning Network featured. Each learner is assigned a disease to research. Then they create a spreadsheet with symptoms and historical facts. Afterward, their partner uses their Google Sheet to do some detective work and figure out the disease, using complex thinking to determine the answer. 

An elementary educator in Texas created interactive math activities for learners. In these Google Sheets practice exercises, learners select a question from a drop-down menu and then type their answer into a box. The activity will let them know right away whether their answer is correct or not. 

A “mystery puzzle” with a picture also reveals itself piece by piece as learners correctly answer questions. This is a great way for learners to practice foundational math skills or to review at the beginning of the year. You can also share puzzles based on learners’ abilities. On the educator’s website , you can download the free Google Sheets activities for students. 

Matt Miller from Ditch That Textbook came up with an idea for science classes to collaborate with classes from other parts of the city, state or country. In Google Sheets, the classes collect data about the weather where they live. This gives them a global learning experience and a chance to compare and contrast data.  

Educator Brittany Washburn created a Google Sheets activity for learners to collaborate on pixelated art. Learners change the sizes of columns and rows and add colors to cells to create images. Group members can create images of historical architecture, a diagram of the parts of a plant, a fictional character, a map, the Earth’s layers and more. 

Games can be a way for learners to practice critical thinking skills and problem-solving skills. You can set up a Battleship game for learners (or they can set it up themselves!) in Google Sheets. Just like the classic game, learners will use strategy to determine where their opponent’s ships are on the Google Sheet. This could be used as enrichment or as an activity for learners who finish an assessment early. 

Flippity offers templates and step-by-step instructions for transforming Google Sheets into flashcards and instructional games. Some examples include:

  • Quiz show setup
  • Spelling word manager
  • Self-assessment
  • Word scrambler
  • Click and drag objects

Once you have a Google Sheets activity ready for learners, what’s the best way to share it with them? You can add each student to the Share settings, but that takes a lot of time (that you don’t have as an educator). Hāpara makes it very easy to share Google Sheets activities with your learners. In Hāpara Teacher Dashboard , there is a “Share files” feature. It allows you to quickly share any Google file or create a new one. You can also share it with a single learner, a group or the entire class for differentiated instruction. 

Hāpara Workspace is a tool that allows you to place all of your learning content for a lesson, unit or project into one spot. Students can explore the Workspace at their own pace, and you can add Google Sheets activities for groups or individual learners for differentiated instruction.  

If you need some help understanding how to use Google Sheets features, there are free training options available online. Here are a couple to get you started:

  • Google Sheets for educators video — This video is a great way to learn how to sort and filter data, add formulas, create charts and graphs and add conditional formatting.
  • Google for Education training — This online hub for educators has a series of videos and interactive lessons to help you dive into Google Sheets

Some learners have technical skills, but they don’t all understand how to use Google Workspace for Education apps. While the activities above can help them gain some Google Sheets skills, you may want to set aside some time for them to take a deeper dive. 

Google’s Applied Digital Skills training offers a lesson with teaching materials, so you or your students can learn the basics of Google Sheets.

It also includes games to make learning these skills more fun. For example, share the Make a Word Game with students to play with a partner. As they play, they’ll learn how to use Google Sheets formulas and functions.

Google education expert Alice Keeler also has a guide for students all about Google Sheets. She covers the four basic skills they should gain so they can use spreadsheets in any class.

In this section, we’ll take a look at how to quickly build a Google Sheets template for homework that will make it simple for you to keep track of your assignments. 

Step 1 . Start by entering the text you need in your template: the header/title at the top, a place for the document date, and the assignment details (due date, task, class, status). Then use the toolbar options to customize your text, such as alignment, color, size, and font.

Step 2 . Next, if you have cells you need to merge (such as for the title), highlight the cells, click the Merge icon, and select Merge all from the menu.

Consolidate Assignments by Using Google Sheets

Are you creating beautiful daily lesson plans for students using Google Slides? Are your assignments posted into Google Classroom along with links, tasks, and templates and followed with a detailed checklist created in Docs? I’m sure you spent a lot of time creating these resources! But, are we creating too MANY resources and links for our students?

Last week, I watched my 10-year-old son attempt to complete all his assignments in Google Classroom. My son is relatively tech-savvy and loves working digitally, but he was LOST. There were too many links, too many Classroom topics, and too many places to “go”. In fact, I had difficulty helping him locate some of the resources!

The Problem

Sometimes less is more. Creating multiple resources, Classroom topics, links, and Docs to help our students stay organized could possibly be counter-productive, especially while helping our youngest learners. Could we be making it even more challenging for students to locate and access assignments by providing too many guiding Docs?

To streamline resources in Google Classroom many edtech gurus have recommended:

1. Classroom Topics named “Today’s Links”: If you name a Google Classroom topic “Today’s Links” students will know where to find all the materials for that day! Teachers may choose to move the links under the correct subject Topic headings later.

2. Numbering Assignments: Numbering assignments makes it easy to refer to an assignment later. Also, students may be able to recall which number assignment they should work on today.

But, once you add on all the amazing Google Slides daily/weekly learning plans and Google Docs checklists it may still get a little confusing.

How could we simplify our assignments and make it easier for students?

The first solution that came to me is Google Sheets!

Google Sheets allows you to create a “one-stop-shop” for objectives, tasks, checklists, links, and more!

Also, you can link to the specific Google Classroom Assignment in the Sheet by clicking on the 3 dots in the right-hand corner of the assignment while in Google Classroom. Then, add that link to the template.

Finally, you may add a checkbox for students to complete once they have “Turned-In” each assignment.

Duplicate the template by clicking on the TAB below and selecting “duplicate”. You may rename each TAB using dates.

The Google Sheets Template gallery

You can access even more awesome free templates by using the Template gallery provided directly by Google Sheets. To access the template gallery, open a new Google spreadsheet, click "File" on the top toolbar, hover your cursor over "New" (the small triangle on the right), then click "From template gallery", as shown in the image below.

You can also access the template gallery from Google Drive (must be logged in to Google). In Goole Drive, simply click the button on the upper left that says "New", then click the small triangle on the menu row that says "Google Sheets", and then click "From a template", as shown in the image below. This will take you to the Google Sheets " Template gallery ", (example shown further below).

From the template gallery you can scroll through and select the template that you wish. When you click on it Google Sheets will automatically create a new file with the selected template.

The best method for you will depend on your individual needs and preferences. If you need a quick and easy way to get started, then using a template is a good option. If you want more control over the look and feel of your tracker, then creating a custom tracker is a better choice.

Part 3. Free Download, Edit, and Print Your Sheets using WPS Office

What is WPS Office? WPS Office is a free, open-source office suite that is available for Windows, Linux, and macOS. It provides a complete set of tools for creating and editing documents, spreadsheets, and presentations. WPS Office is compatible with common office suites like Microsoft Office and LibreOffice, so you can easily open and edit files that were created in those programs.

In addition to its compatibility with other office suites, WPS Office also offers several features that are not found in Microsoft Office, such as a PDF editor and a document translation tool.

My experience using WPS Office has been very positive. I have found it to be a powerful and versatile office suite that is well-suited for both personal and professional use. The free version of WPS Office offers all of the features that I need, and I have not felt the need to upgrade to the paid version.

Attach template files to an assignment

You can attach files to an assignment so each student receives an individual copy to edit and turn in. Example attachments include:

  • Google Docs or Microsoft ® Word ® files for paper prompts
  • PDFs for worksheets
  • Google Sheets for data analysis
  • Google Slides for presentations
  • Google Sites for digital portfolios or final project templates
  • Colab notebooks for programming exercises

Students can unsubmit work before an assignment’s due date. After the due date, students can’t unsubmit their work. If the assignment doesn’t have a due date, students can unsubmit their work at any time.

Note : To use Assignments, you need a learning management system (LMS) and a Google Workspace for Education account. The account usually looks like [email protected]. If Assignments isn’t installed in your LMS, ask your admin to go to Get Started with Assignments .

Attach files in Assignments with Canvas

The following instructions are for Canvas users. 

  • In Canvas, select your course and create an assignment.

and then

  • Click Google Assignments , which will open a popup window.
  • If this is your first time using Assignments in the course, confirm your Google Account.
  • Select Create assignment .
  • Under Title , enter a name for the assignment.
  • Under Files , click Attach and select files.
  • Click Create . The Assignments window closes.
  • Click Select to finish selecting the external tool.

Attach files in Assignments with Schoology

The following instructions are for Schoology users. 

  • In Schoology, select your course and open the Materials list.
  • Enter a title for the assignment.
  • (Optional) Adjust points and due date, add a rubric, or turn on originality reports for the assignment.
  • Click Create .  The Assignments window closes.
  • Open the assignment.
