VISITOR MANAGEMENT FOR SUSTAINABLE TOURISM: THE CASE OF ISTANBUL’S PRINCES’ ISLANDS

The purpose of this paper is to create a framework to set the foundation for the visitor management planning in the Princes’ Islands. The Princes’ Islands are a cluster of 9 islands located in the southeast of Istanbul in the Sea of Marmara. The fact that Princes’ Islands are overcrowded with visitors especially during the months of summer, creates major problems not only for the local inhabitants but also for the protection of the destination and its cultural and natural heritage. By means of a holistic visitor management plan, visitor flows and impacts can be managed more efficiently, the unique heritage assets of the Princes’ Islands can be better protected to be passed down to the next generations, and sustainability of tourism can be achieved in the long term. This thesis aims to understand what constitutes a visitor management plan, what are different methodologies to conduct visitor management planning; who would carry it out, what would the priorities of the plan be, how would it be executed, how would it be updated, and what would be the effect of having a visitor management plan in the Princes’ Islands. Throughout the study different examples of visitor management models, techniques and strategies from other destinations and heritage sites located both in Turkey and overseas were analyzed to be able to provide the most appropriate visitor management practices for the Princes’ Islands. The research was conducted as a mixture of desk-based research and fieldwork involving a fact-finding mission to the Islands.

Protected town life makes the place unique in Istanbul. Objective of the study is to develop a touristic product that serves the needs of sustainable tourism development such as undamaged local life involvement of local people to the tourism activities, the importance of historical aspects and undamaged local nature of the site. Firstly, a SWOT analysis of the island has been made in order to get the maximum benefit from the island.The site is much protected and according to the SWOT analysis, sustainable tourism can be reached in the site by infrastructure and superstructures enhanced. The article analyzes visitor management techniques as a way to develop sustainable tourism in protected areas. Visitor management is an important tool in recreational and protected areas, as increasing use levels can negatively impact the quality of recreational experience as well as natural resources. To meet the requirements of both nature and visitors, a prudent and careful management is necessary. Topkapı Palace Museum, situated in Sultanahmet Archeological Park World Heritage Site in Istanbul, hosts over 3 million visitors each year. In this paper, a visitor management planning process, which aims to reduce visitor impacts and risks on architectural heritage, will be presented. In this scope, an alternative suggestion to visitor management process in the case study of Topkapı Palace Museum is aimed to be constructed.

Although many authors have examined various aspects of general planning, a literature review of tourism shows that, with few exceptions, not many authors have been concerned with tourism planning. Bearing in mind past research negligence, this paper was written with the aim to investigate the planning process in the case of tourism, by providing a framework whereby tourism planning processes might be better described and explained, and applying this framework in the case of Greece. The findings of the study confirm that the proposed framework can be used as a mechanism for present and future problem-solving orientations of tourism planning, as a tool to provide a balance between the positive and negative effects of tourism, and as a basis for planners to evaluate whether or not the objectives of tourism planning have been fulfilled. In the present day, since visitors increasingly prefer to visit more natural areas for the purpose of tourism, determining a tourism strategy is becoming increasingly important for the stakeholders of a destination to achieve sustainable development. Within the Sarıkum Nature Preserve Area, which is a natural attraction formed from the enclosure of an old gulf by coastal dunes, different sensitive ecosystems live together. A lake, a lagoon, sand dunes, sea, and forest can all be found in this rare piece of nature. The research area was declared a nature reserve area in 1987, and a great part of it is also a first-degree protected natural area. In order to determine a tourism strategy for the research area, a SWOT (strengths, weaknesses, opportunities, threats) analysis was performed using a participatory approach. From December 2011 to June 2012, face-to-face interviews were conducted and questionnaires sent via e-mail to all stakeholders, including the Government of Sinop, the Culture and Tourism Directorate of Sinop Province, the Regional Directorate of Nature Protection and National Parks, the Association of Black Sea Tourism and the Cultural Wealth Preserve, representatives of the private sector and local people. The SWOT analysis was then finalised by a group of experts, including researchers. The aim of this paper is to determine a sustainable tourism strategy for ecotourism in the Sarıkum Nature Preserve Area. Furthermore, the results of the analysis form a basis not only for the tourism management plans of the research area, but also for similar nature reserve areas in the world.

This study aims to research the special characteristics, expectations and experiences of the tourists a destination attracts and elaborate them during sustainable tourism planning in the effort to (re)build a destination. Research conducted in southern Chania, Crete, Greece based a) on a structured questionnaire to capture the characteristics of tourists visiting the area, their motivation and opinions b) a content analysis of the material posted on “Trip Advisor” in order to understand the perceived image of the area. Cluster analysis highlighted three groups a) the eternal lovers, b) the devoted families and c) the adventurers. All groups declared a high degree of satisfaction and loyalty to the destination and a strong interest in sustainable and alternative tourism. In this computer technology world the impact of IT contributes major roles in all real time system. Various management systems implemented for achieving the business organization towards profit, standards, and further business enhancement. The main aim of this research is to implement a web based system that can secure the information’s of visitors to a company. This system is a well-structured system and easy to use. The languages used to develop this system are PHP (Personal Home Page), HTML (Hyper Text Markup Language), CSS (Cascading Style Sheet), and Database is MySQL. The website has a large memory of storing all the information of the visitors to a company and also keeping record, it is highly effective and accurate. I will recommend that if there is going to be any modification the new writer should endeavor to improve on the limitations, such as making it possible for visitors to book appointment online and fill the necessary information before coming down for visit or an appointment.

INTRODUCTION

1.0     BACKGROUND OF STUDY

A Visitor Management System (VMS) is anevolving concept defined as a systematic collection of visitor’s information. It is a record in digital format that is theoretically capable of keeping track of list of visitors and their personal details for effective service from both clients and the company.

This system tracks the usage of a public office by gathering increasing amounts of information. A visitor management system can record the usage of thefacilities by specific visitors and provide documentation of visitor’s whereabouts. Since a visitor management system provides a record of office used and the person visited, these systems are frequently used to complement office security systems and access control systems.

Aselectronic visitor management systems become more common and more powerful, these systems are taking over many of the functions of office security and access control like gathering information manually.

Managing visitors is an essential access control activity traditionally handled through paper logs or guest books, where visitors sign in at the front desk. Synergis’ Visitor Management module allows you to modernize your approach, go paperless, and become more efficient. Enroll visitors, assign physical access rights, and track their movements with ease. A digital visitor management system does the core job of checking in visitors. But it also does many things pen and paper cants which include:

  • STATEMENT OF PROBLEM

After carefully analysis of the project the researcher observed that the following problems are mainly encountered by different organization

  • The present method of visitors management system is mainly based   on manual recording,
  • The present system makes use of small or no database for recording of visitor’s information.
  • Due to lack of comprehensive database, accountability is usually very difficult,
  • The present system is time consuming,
  • Owing to the paper and pen  method of  recording information visitors may not give out its full information needed at a particular time,
  • Queuing may occur at the cause of entering information needed.

1.2     OBJECTIVE OF STUDY

The aim of this project is to design and implement an online visitors management system.

The objectives include:

  • To build a web database for storing visitor’s information: to setup a strong relational database for storing visitor’s information for easy retrieval and annual report analysis.
  • To develop a web base which helps to insert and retrieve visitors information: retrieval of information stored in a database is vital and must be ready to get back from the database when needed so that the purpose of storing the data must be accomplished.
  • To give account of visitors that visited the organization: the system that is setup must be ready to give total number of visitors that visited the organization per day, week, yearly etc.
  • To ascertain the reasons why the visitor visited: the system will also track the reasons why the visitors visited, whether the message is relevant or not.
  • To provide easy access of searching and navigation for time saving: the system have a special way of retrieving data from the database like search the visitor using its identification number.
  •      SIGNIFICANCE OF STUDY

With growth of information technology, the study offers numerous values in business premises and revenue payment:

  • Visitors get high quality service: since the recording requires human information, with use of computer more concrete information will be provided.
  • It will be easier to generate overall report: comprehensive and relational database will make the report generation easy and faster.
  • High Security Environments: Assign and print credentials for your visitors like any other employee, define detailed access rights, specify visitor escorts, and give your staff full control over access to your facilities.
  • It will provide efficient, effective and timely services,
  • It will reduce corruption,
  • It contributes to the entire organization security .

First impressions are the most important, and when you’re consistently listed as one of the top five innovative companies in the world, it simply won’t do to ask your visitors to sign-in on a paper logbook.

Alexion Pharmaceuticals , a biopharmaceutical firm that specializes in treatments for rare diseases, makes it a company practice to use innovative technology whenever and wherever possible; however, Alexion’s U.S. Headquarters in New Haven, Connecticut, had a process for visitor management that was proving inadequate for a company ranked  on Forbes’ “Top 25 Most Innovative Companies in the World”.

“With visitor management, we needed to get away from having that paper book, which is next to useless,” Brian Phillips, Associate Director of Physical Security, Technology, & Integration said. “Our company as a whole is very innovative and we are always challenged to think of creative ways to handle our problems.” In his previous work in the pharmaceutical industry, Phillips had become familiar with Veristream, an online Software as a Service (SaaS) visitor management system. Phillips soon suggested that Alexion switch over.

Veristream provides cloud- based software that increases security, simplifies badging, and frees up IT staff time. For Alexion, one of the key attractions to Veristream was the reduced demand on the company’s own staff. “Our global security team is the security support for most of our sites,” Phillips said. “Most are very small in headcount, so they don’t have a dedicated person to help. Having a secure online system where I can say, ‘Hey, just hit this URL and you are up and running,’ was important to me. Anywhere we can rely less on support from IT, we are trying to go that route. If I can support it from my end by having that secure online system, it works better for me and for IT as well.”

In addition to the headquarters, various other sites were in particular need of a visitor management system that could grow with their needs. These included a plant in Smithfield, Rhode Island; an office in Cambridge, Massachusetts; an international headquarters in Lausanne, Switzerland; a new plant in Ireland; plus two more locations in the planning stages in Tokyo, Japan and Mumbai, India.

Phillips had tried working with the existing automated visitor management system, but it did not go well. “The existing [visitor management system] was a nightmare to set up,” he said. “We could never get it there.”

“The other system required a SQL server and client to connect, more rack space, and more people to support that server and deal with it. Ultimately it was much easier to change the visitor management system than the access control system.”

Innovation In Our DNA

The check-in process itself is one of the more high- tech aspects of a visitor management system. Visitors are pre-registered online, and the Alexion host is notified via e-mail or text when their guest arrives. Upon arrival, visitors are directed to an iPad kiosk to complete the registration process, like signing an NDA or an agreement to be escorted on the premises at all times.

Phillips expressed the importance of picking a system that matched well with the company. “From our leadership, we are challenged to have the best in class — innovative but tried,” he said.

“We also leverage driver’s license scanners in the U.S. and use the iPads at the reception desks."

“We use these kiosks for registration when they enter the lobby. My boss likes toys [so] the visitor management system with the cool iPads in the lobby was definitely a seller. We have a stock of access badges in sleeves, so when a visitor’s identity is validated, we simply put a paper visitor badge in front of that proximity card.”
